REPORTS TO: Clinic Manager

AGENCY MISSION: to provide intervention and advocacy for children who are victims of, or witnesses to, crime.

AGENCY VISION: to reduce the trauma experienced by child victims of abuse and their non-offending family members through multidisciplinary intervention, advocacy, support and strong community partnerships.

POSITION OVERVIEW:.

The Kids FIRST Medical Office Assistant is responsible for ensuring a warm, professional reception for families, community partners, and other visitors to the center. This position is additionally responsible for scheduling appointments, patient intake, data entry, processing insurance claims, and other administrative support functions.

RESPONSIBLITIES: Responsibilities include, but are not limited to, the following:

Scheduling and Coordination

  • Work within a Multidisciplinary Team comprised of representatives from Law Enforcement, the District Attorney's office, Department of Human Services, and other partner agencies who work to collaboratively manage and prevent cases of child maltreatment
  • Schedule forensic interview and/or medical exam appointments with agency providers, law enforcement, and DHS child welfare personnel
  • Ensure all necessary client information is accurately entered into NCAtrak database, electronic health record, and interview video capturing software
  • Gather all relevant reports and medical records from community partners to ensure providers have all essential information for interviews and exams
  • Communicate with law enforcement and child welfare partners to ensure all vital information has been shared and that mandatory reporting law requirements have been met
  • Assist with client appointment scheduling and intake processes
  • Check eligibility and verify insurance benefits

Client Services and Office Support

  • Answer phone calls, creating appointments, directing calls as required
  • Assist with Crime Victim's Compensation application process, records requests, and benefit coordination
  • Perform data entry using program databases, medical billing databases, and spreadsheets
  • Stock exam rooms and prepare office for opening
  • Manage inventory and place orders as needed
  • Maintain filing system for all patient documents and reports submitted

Billing Claims Submission

  • Assist with data monitoring to ensure service records are accurate and up to date
  • Prepare, review, and transmit medical claims using billing software, including electronic and paper claim processing
  • Ensure billing claims are processed in a timely and accurate manner

MINIMUM QUALIFICATIONS: Associates Degree in medical office assisting or equivalent work experience required. Bilingual/bicultural applicants are encouraged to apply.

  • Computer, data entry and office management skills
  • HIPAA
  • Medical terms and technology
  • Medical billing/coding
  • Law and ethics pertaining to medical practices
  • Customer service and telephone etiquette
  • Short-term crisis intervention techniques
  • Common safety hazards and precautions to establish a safe work environment

Ability to:

  • Communicate effectively with a population that has experienced trauma
  • Learn and apply specific rules, policies, and procedures
  • Complete detailed work with a high level of accuracy, while also helping to manage phones and other interruptions
  • Prioritize, multi-task and demonstrate effective time-management
  • Prepare correspondence and reports from general instructions or marginal notes
  • Establish and maintain effective working relationships with a diverse group of stakeholders
  • Communicate clearly and concisely, both orally and in writing
  • Communicate in a compassionate, unbiased, trauma-informed manner
  • Maintain confidentiality and a professional demeanor when dealing with others
  • Demonstrate commitment to the mission, vision, and values of Kids FIRST
  • Pass a thorough criminal and child welfare history check
