Clinic Manager

Are you an experienced Clinic Manager? Do you want to make a difference for child victims of abuse in our community?

An Accredited Children's Advocacy Center, Kids FIRST provides comprehensive intervention and treatment services to child victims of abuse and their non-offending family members. The Clinic Manager is a core member of Kids FIRST's leadership team. Working closely with the Executive Director and the Medical and Therapy Directors, this position ensures effective delivery of services to our child clients and their families. The Clinic Manager coordinates appropriate information sharing and directly supervises intake and scheduling personnel.


JOB RESPONSIBILITIES

Principal duties and responsibilities include but are not limited to:

  • Clinical operations and practice management. (60%)
    • In coordination with the Medical Director, ensure efficient workflow of clinical services for clients and their families.
    • Oversee case management database and electronic health records (E.H.R.) system, and train clinical and administrative staff on effective use.
    • Provide annual HIPAA training, Fraud, Waste and Abuse training, and other necessary trainings.
    • Coordinate program evaluation and data analysis for clinical services.
    • Conduct annual meaningful use audit and attestation for E.H.R.
    • Ensure completion of credentialing for clinic providers
  • Oversees document development for the various programs; assists in the development of all external communication materials about clinical programs; ensures maintenance of appropriate resource materials for client waiting/activity and information areas.
  • Oversees client data tracking system, documentation of data, and quality control; ensures quarterly reporting for these programs and provides information to Executive Director.
  • Insurance billing oversight. (20%)
    • Maintain up-to-date knowledge on billing procedures and monitor billing success. Review contracts and ensure compliance.
    • Provide backup billing support during staff absences.
  • Custodian of records. (10%)
    • Serve as agency point of contact for subpoenas and information requests. Facilitate appropriate information sharing in accordance with HIPAA and relevant Kids FIRST policies and procedures.
    • Maintain up-to-date knowledge relating to records retention, release and HIPAA compliance.
  • Additional Duties. (10%)
  • Oversees and manages services and data for grants received to fund client services and ensures/and or provides on-time reporting of documents and submissions.
  • Provides outreach/information services to local law enforcement, schools, and service agencies in conjunction with other partner agencies; answers questions from the community and provides referrals.
  • Provides Center representation at community events, multidisciplinary team meetings and taskforces.
  • Participates in fundraising and community awareness events;
  • Other duties at the discretion of the Executive Director


QUALIFICATIONS AND SKILLS

  • Bachelor's degree in social work, criminal justice, mental health, nursing or related field, and a minimum of five years of management in a clinical setting.
  • Master's degree or equivalent experience preferred.
  • Sound judgment and ability to work effectively in complicated and/or crises.
  • Strong interpersonal, verbal and written communication skills.
  • Experience with Microsoft Office suite and database management. NCAtrak or electronic health records (E.H.R.) experience a plus.
  • Ability to pass comprehensive criminal and child welfare background check.
  • Proven ability to implement vision, think strategically, creatively problem solve, exercise good judgment and lead change.
  • Proven ability to work in a team and build working partnerships. Can flexibly share leadership and build consensus.
  • Can take initiative and make difficult decisions.
  • Commitment to the mission, values, aspirations of Kids FIRST.
  • Experience in medical billing preferred.
  • Knowledge of child abuse dynamics, child protection and criminal justice systems preferred.
